What does an on-the-day wedding coordinator actually do? Why my support starts four weeks before your wedding

If you've ever wondered what an on-the-day wedding coordinator actually does, you're not alone! It's one of the questions I get asked most, and the honest answer is: quite a lot more than turning up on the morning with a clipboard.

The bit that surprises most couples is that my support doesn't start on your wedding day. It starts around four weeks before. Let me explain why, because it's honestly the secret to a calm, smooth celebration.

So, what is an on-the-day wedding coordinator?

An on-the-day coordinator is the person who takes over the logistics so you don't have to. You've spent months (sometimes years!) planning every detail. A coordinator makes sure it all comes together the way you imagined, while you get to actually enjoy it.

Think of it as the difference between hosting your own party and being a guest at it. I'm there to quietly handle everything behind the scenes, so you can be fully present with the people you love.

Why four weeks before the wedding?

Here's the thing: the day itself is only the final stage. A huge amount of what makes a wedding run smoothly happens in the weeks before, and that's where I come in.

About four weeks before your wedding, we'll have a final planning handover. You talk me through everything you've planned, your suppliers, your timings, your must-haves and your "please, absolutely not" list. From that moment on, I take over.

Four weeks is the sweet spot. It's close enough to the wedding that most of your decisions are made and your suppliers are confirmed, but far enough out that there's time to iron out any wrinkles and tie up loose ends without anyone panicking.

What does taking over supplier liaison actually mean?

This is the part couples tell me they're most relieved to hand over. From handover onwards, I'm the main point of contact for your venue and suppliers. That means:

  • Confirming the details with your venue, photographer, florist, caterer, band or DJ, and everyone else

  • Sharing your timeline so every supplier knows where they need to be and when

  • Answering their questions, so they're not messaging you while you're trying to have your final dress fitting or a quiet evening in

  • Flagging and solving problems early, because a tiny wobble four weeks out is much easier to fix than one on the morning

The last month before a wedding can be surprisingly busy. Suppliers have last-minute questions, numbers shift and timings need tweaking. Instead of it all landing in your inbox, it lands in mine. You get your headspace back, and your suppliers get one clear, friendly contact.

Finalising your wedding day timeline

Once I've taken over, one of my first jobs is finalising your wedding day timeline and sharing it with everyone involved. A good timeline is a bit like a map: when the hair and make-up team arrive, when the florist sets up, when the ceremony starts, when the speeches happen and when the evening guests arrive.

And then, on the day itself

When your wedding day arrives, everything is already in place, which means I can focus on keeping things running beautifully. On the day, I'll:

  • Oversee set-up and styling, so everything looks as you pictured it

  • Coordinate your guests and suppliers

  • Handle questions, so nobody's asking you where the cake should go

  • Stay calm and deal with anything unexpected, because something small always crops up, and you'll probably never even know about it

Afterwards, you'll also receive The Afterglow: candid photos and clips from your celebration, the little in-between moments you'd otherwise miss.
